YOU MUST BE A VCS MEMBER TO SUBMIT A CASE REPORT:  To check your membership status, click here. Enter your last name in the correct field and select search. If your name does not appear, you are not a member.  Also, if your name does appear but  “2013” does not appear next to the words “Member Type,” your membership is not current. To join or renew your membership in VCS, visit www.vetcancersociety.org and click on LOGIN if you wish to renew, or ONLINE MEMBERSHIP APPLICATION if you wish to join.

PRESENTATION METHOD:  Case reports for the Veterinary Technician Cancer Society will be presented orally with accompanying PowerPoint presentation.

CASE REPORT PRESENTATION RESTRICTIONS:  You may submit multiple case reports, however, you will only be allowed to present one oral case report and the particular report selected will be determined by the program chair and the committee

LENGTH AND FORMATTING:  The body of the case report must be no longer than 1000 words (does not include the title, all authors, affiliations and references, if any) and must be submitted in Microsoft Word 2010 or earlier. Do not include that information in the case report body. The case report should include an introduction with overview or objectives, a brief description of the case history, materials and treatment methods, results and outcomes of the study. Please include any particular impact this case may or will have on your future approach to similar cases or oncology in whole. Submitted case report may not include tables or graphs, as these should be included in the supportive powerpoint (insertion of “Graph/table to be referenced in ppt” will not be included in word count). No editing will be done by conference staff. Each author is fully responsible for the content of the case report.  You must attach your actual Case Report to the email you send to VTCS along with the submission form.

SUBMISSION:  All case reports must be submitted via vettechcancersociety@gmail.com online by July 8th. Please use “VTCS 2013 Case Report Submission” as the subject of the email. All submissions with other subject lines MAY be disregarded. Attached to the submission email must be the completed form available via the SUBMIT CASE REPORT link at the bottom of this page.

EDITING YOUR CASE REPORT:  When you submit your case report, you will receive a confirmation email letting you know that it has been submitted properly. You can edit your case report as often as needed up to July 8th.  To do so, simply attach an edited Case Report Submission Form and/or edited Case Report to the original confirmation email and send to VTCS.  When doing so, please add “EDITED-(date-mm-dd-yy)” in the subject line. DO NOT DELETE THE ORIGINAL SUBJECT LINE. Please DO NOT submit duplicate case reports. Conference organizers will not make any changes to your case report.

GRADING:  Submissions will be reviewed and assigned by VTCS Executive Committee members. Successful applicants will be notified via email by August 10th of assigned time slot for presentation.  Presenters are required to accept or reject their assignment to a specific time by August 20th. The final schedule will be posted on the VCS conference website by September 10, 2013.

PRESENTATION:  Oral presentations are scheduled for 7 minutes with 2 minutes for questions. Only single projection will be available.  Although your PowerPoint presentation must be submitted prior to the conference, we encourage you to bring your presentation to VCS in PC Windows formatted Flash Drive to be safe.

SUBMITTING PRESENTATIONS PRIOR TO CONFERENCE:  All PowerPoint presentations for all case reports accepted for oral presentation must be emailed via attachment in .ppt or .pptx files by 11:59 pm on October 15th. Instructions for submitting presentations will be emailed to all presenters in early October. Microsoft PowerPoint 2007 or 2010 on a PC format will be the only platform supported for the conference.

PRESENTATION DURING THE CONFERENCE:  If your case report is accepted for presentation, you must agree to present at any time during the Technician Workshop. Currently, we anticipate that case reports will be presented on Friday afternoon, October 18th or Saturday, October 19th during the Technician Workshop.

CASE REPORTS PRESENTED ELSEWHERE:  Case reports presented elsewhere may be allowed as long as cases have been updated or data has matured since the last presentation.

AWARDS:

  • All submissions will be graded on merit and completeness of  data.  All presentations will be judged by a committee including VCS and VTCS executive board members as well as local conference chairs.
  • Presenters who accept awards must are encouraged to present their papers at ACVIM and to submit an abstract/report by the published deadline for 2013.
  • Presenters will receive award dependent upon placement by judging. A top award of $150.00 will be presented.
